Booking terms & cancellation
We like to keep things warm and simple — but a little clarity up front means we can both relax and enjoy the flowers. Here’s how booking works.
Booking & deposit
- A 25% non-refundable deposit reserves your date. Your booking isn’t confirmed until we’ve received it.
- The balance is due 7 days before your event.
- We accept credit card, and e-transfer on request.
Guest count & flowers
- Please confirm your final guest count 7 days before the event — we order fresh flowers to that number.
- Need to add guests after that? We’ll do our best, subject to what we can source.
- Because flowers are ordered to your count, the price can’t be reduced below the confirmed number.
Rescheduling
- One free reschedule with 7 or more days’ notice, subject to availability — your deposit simply moves to the new date.
- Inside 7 days, a change of date is treated as a cancellation (see below), because flowers have been ordered.
If you cancel
Life happens — here’s how it works if you need to cancel:
- 8 days or more before: you lose only the 25% deposit. Nothing further is owed.
- Within 7 days: the deposit plus 50% of the remaining balance. Fresh flowers have been ordered and can’t be returned.
- Day-of or no-show: the full amount, for the same reason.
If we cancel
If we have to cancel for any reason, you choose: a full refund including the deposit, or a new date that suits you. If we can’t get to you because of genuinely unsafe weather or conditions outside anyone’s control, we’ll reschedule at no charge, or refund you in full if no date works.
Outdoor events & weather
- For outdoor events, please have a shaded or covered backup — heat, wind and rain are hard on fresh flowers, and on guests.
- In genuinely unsafe weather we’ll work with you to reschedule where we can.
The Rental Kit
- A $75 refundable damage deposit applies, returned after we’ve checked the kit back in.
- Please return everything clean and undamaged by the agreed time. Lost or damaged items — buckets, display, snips — are charged at replacement cost.
- You supply your own flowers for this option. We include a free sourcing guide to help.
Your space
- Please provide a suitable spot — a sturdy table or two, room for guests to gather, and access to water where possible.
- Bouquet bars are a little (joyfully) messy. We bring a protective mat for delicate floors, but please tell us your surface when you book.
- Any venue rules, permissions or parking arrangements are the host’s responsibility.
Safety
- Harbour & Bloom carries liability insurance.
- Flowers and greenery are natural and contain pollen. Guests with allergies take part at their own discretion.
- Snips and scissors are sharp — children should be supervised by an adult.
- We’re not responsible for pre-existing venue conditions, or for reactions to flowers.
Photos
We love to share the joy — we may photograph the bar and the finished bouquets for our website and social media. Prefer we didn’t? Just tell us and we’ll keep your event camera-free.
